A “storage space” is sold as a DMS. A sync service is presented as a backup. Readers pay for one function and receive another. The simplest approach is to ask each word what promise it keeps.

Storage: the file has a place

Storage answers three questions. Where is the file? Who operates the service? How much space is left? A file server, a NAS or an online space provide storage. Storage says nothing about who can open the file, which version to trust, or what happens if it is deleted.

Sync: the local copy follows the place

Sync puts a copy of the folder on the computer or phone. You work offline, then the changes go back to the server and to the other devices. It is convenient. It is also a propagation mechanism: a deletion or a file encrypted by malware spreads in the same way as a correction. Sync is therefore not a backup.

Sharing: someone else has access, within a scope

Sharing decides who accesses what. Internally, it relies on the organization’s accounts: read, edit, reshare permission. Externally, it often goes through a link, which should have a password and an expiry date. Sharing answers the question “who.” It does not say which version is authoritative, or how long to keep the document.

DMS: the document has a workflow, an authoritative version, a retention period

A document management system (DMS) treats the file as a business record. It classifies it (folders and metadata, for example tags), routes it (upload, approval, filing), and keeps its version history and an audit trail. It lets you say which version is the right one and until when it is kept. The ISO 15489-1 standard provides the reference vocabulary for this discipline, records management: metadata, controls, responsibilities. An SME does not need to follow it to the letter. It helps ask the right questions.

At a glance

Function

Question it answers

What it does not do

Storage

Where the file is, who operates the service

Permissions, reference version, going back in time

Sync

How to work on your devices, even offline

Protect against deletion or encryption: it spreads them

Sharing

Who has access, with which permissions, until when

Say which version is authoritative, set a retention period

DMS

Which workflow, which version, which retention period

Replace a separate backup, or provide evidential archiving on its own

What you lose by choosing only one

A synced drive without permissions is not a DMS. Everyone sees everything. Files are named “quote_v3_final_OK.” Nobody knows which one was sent to the customer. When someone leaves, you have to guess which folders belonged to whom.

A DMS without a sync client pushes people toward attachments. If the tool is a pain to open from a computer or phone, teams download the file, edit it on their workstation and send it by email. A thirty-person SME receives a supplier invoice by email. The same day, its managing director drafts an internal memo on the train.

The invoice needs a DMS. It is uploaded to the supplier invoices folder, tagged with the supplier’s name and the year, then sent to the person responsible for approving it. That person approves or rejects it. Once approved, the invoice is filed and retained. It commits the company: its retention period comes from the law, not from habit (see retaining and archiving documents).

The draft memo does not need one. It lives in the director’s personal space, synced to her computer so she can write it offline. The next day, she shares it read-only with two colleagues. No workflow, no legal retention period.
