Comparisons
There is no “best” European email service in absolute terms. There is an email service suited to the way your employees open their email, to the operator you want, and to what you must be able to recover the day you leave. This page sets out the criteria, with what to test in a demonstration, followed by families of offerings. It hands out no medals.

Every offering can send and receive a message. The differences show up elsewhere: the day an assistant has to manage the calendars of two partners, a salesperson changes phone, a fake supplier asks to change bank details, or an employee deletes a client’s folder. A demonstration that shows a webmail and an empty mailbox only compares screens.
So prepare the demonstration like a trial: your typical workstations, two or three real situations, and operations carried out in front of you on a test mailbox that resembles yours.
The company that runs the mailboxes, the country of the messages, backups and logs, and the country from which support connects. American software operated in France is not the same thing as an American webmail. See European cloud or American cloud.
It is the operator that holds the messages, chooses its processors and receives access requests. Zimbra is a good example: published by Synacor in the United States, it is operated by OVHcloud, in France, and by Klytic, in the hosting zone chosen by the client. The common mistake: checking where the mailboxes are and forgetting backups, logs and support.
To test in the demo. Ask for the name of the signing company, the list of processors and the country of each copy: mailboxes, backups, logs, support access. The verbal answer must be reflected in the contract. The full framework is in sovereign cloud: definition, criteria, limits.
IMAP and SMTP are enough for many workstations. Exchange ActiveSync (EAS) and Exchange Web Services (EWS) matter if Outlook and mobile devices need to find calendars and contacts without workarounds. “Outlook compatible” is something to have demonstrated on Outlook for Windows and, separately, on Outlook for Mac.
IMAP synchronises folders and messages, SMTP sends. Calendars and contacts do not go through IMAP: this is where EAS and EWS make the difference. An invitation accepted on the phone must appear in Outlook, and a contact created at the office must show up on the mobile. The common mistake: validating compatibility on a single device, when the company mixes Windows, Mac, iPhone and Android.
To test in the demo. Set up, live, Outlook for Windows, Outlook for Mac and a mobile device on the same test mailbox. Create an appointment on one and find it on the others. Share a calendar. Accept an invitation from outside.
This is the daily routine of an SME. A demo on an individual mailbox does not prove it.
Example. A 25-person accounting firm (hypothetical case) receives its requests on a “contact” mailbox, handles payroll from a mailbox read by three staff members, and an assistant sends messages in the name of two partners. Each partner also has an alias. If “send as” behaves badly, the client sees the assistant’s name. If a revoked permission remains active on a phone, a staff member who has left can still read the payroll.
To test in the demo. Create a shared mailbox read by three accounts. Send “as” and “on behalf of”. Delegate a calendar. Add an alias and reply from that alias. Finally, revoke a permission and check that it also disappears on the mobile device.
Basic anti-spam and antivirus on one side, CEO fraud and malicious links on the other. Ask what is included in the price of the mailbox and what is an option.
The two levels do not address the same risk. The first screens out bulk unwanted mail. The second targets the single, well-written message that impersonates an executive or a supplier, or the link that is harmless when sent and becomes malicious later. DMARC reports show who is sending mail on behalf of your domain. The common mistake: comparing two mailbox prices without comparing the same level of filtering.
To test in the demo. Ask for a written list of what is included and what is optional. From a personal address, send the test mailbox a message that uses an executive’s name, and see what happens to it. Ask who reviews the quarantine and how an employee releases a legitimate message.
Frequency, retention period, and who initiates a restore. A backup that no one has ever restored is not yet a backup.
Three questions. How far back can you go: with 30-day retention, a message deleted six weeks ago can no longer be recovered this way. What can be restored: a message, a folder, an entire mailbox. Who acts, and how quickly. The common mistake: confusing redundancy with backup, when an accidental deletion is replicated everywhere.
To test in the demo. Delete a message in a shared mailbox, empty the trash, then request the restore. Note the time taken, the person who carried it out and where the message reappears.
Standard export, timeframe, and retention of a copy after termination. Email is the easiest application to leave, provided the history is available over IMAP or in a full export, not just in webmail.
Exit is prepared at entry. Keep the domain name in your own name: the MX record of that domain designates the servers that receive your mail, and you must be able to change it without asking for permission. Check that calendars and contacts can be exported too. The method for a clean switchover is described in migrating without interruption.
To test in the demo. Have a complete mailbox exported during the trial and open it in other software. Get the export timeframe and the retention period after termination in writing.
Email hosted by a major French industrial player. OVHcloud operates Zimbra offerings in France (software published by Synacor, United States): email, calendars, contacts and, depending on the plan, files and editing. Relevant for business mailboxes hosted in France, with a large operator. The level of collaborative suite depends on the plan. It is not, by default, a CRM or a telephony service. To check: the exact plan, and the fact that the group’s SecNumCloud-qualified infrastructure offerings are a different offering from the email service.
Suite from a Swiss hosting provider. Infomaniak (kSuite) hosts in Switzerland. Relevant if you want email, storage, chat and video conferencing from the same provider, and if Swiss law suits you. To check: hosting in Switzerland is a transfer outside Mauritius, to be justified under section 36 of the Data Protection Act 2017.
French email software vendor. BlueMind designs collaborative email for Outlook, the web and mobile devices, to be installed on your premises or with a partner hosting provider. Relevant for an email project where the software vendor itself is French, especially if Outlook is mandatory. To check: who operates it, since the vendor alone does not determine where the mailboxes are.
End-to-end encrypted email. Proton, in Switzerland, is relevant when content must remain unreadable to the operator. This choice limits server-side search, some delegation features and conventional anti-spam. It is excellent for strong confidentiality needs. It is awkward as the general email service of a sales team. It can be reserved for a few accounts, a legal department for example.
Mailbox hosting providers, notably in Germany. Offerings such as Mailbox.org suit freelancers and small teams who want IMAP with a German operator. They do not claim to cover the workstation of a hundred-person company.
Email within an à la carte suite. Some offerings sell email as one module among others, documents, video conferencing, CRM or telephony, which can be taken on its own. This is the case with Klytic Mail, described below with its limitations.
These families are not mutually exclusive: an organisation can combine a general email service, encrypted accounts and filtering placed in front. The overview of complete suites is in the guide to alternatives to Microsoft 365.
Ask three providers to restore, in front of you, a message deleted the day before in a shared mailbox. The operational answer is a better tie-breaker than talk about sovereignty. Let them know in advance: the point is to see the procedure, the time taken and the person who carries it out. The legal framework, for its part, is checked with the operating company and the list of processors, as in what is a sovereign cloud.
Often, but it all depends on the protocol. IMAP and SMTP deliver the mail; shared calendars and contacts require EAS or EWS. Run the demonstration on Outlook for Windows and, separately, on Outlook for Mac.
It depends on what you are looking for. The operator determines who holds the messages. If you want the whole chain, software vendor included, to be French, a vendor such as BlueMind meets that criterion; you still need to choose who operates it.
Yes. Filtering can be placed in front of an existing email service: the domain’s MX points to the filter, which then forwards accepted mail. Klytic MTA can be taken this way. In that case, check that SPF, DKIM and DMARC remain consistent.
Klytic Mail is based on Zimbra, software published by Synacor (United States). Depending on the company’s needs, mailboxes can be hosted in Klytic’s email architecture, in a dedicated instance or directly on the client’s premises. Whatever the hosting model, Klytic operates the platform: maintenance, updates, security, monitoring and keeping the service in operational condition. Web access, email clients and mobile devices; the EAS and EWS protocols are available. Hosting is possible in any geographic zone matching the applicable jurisdiction, subject to the availability of the required services, for example in Europe or Mauritius.
Klytic MTA filtering comes in two levels: the level included in the entry-level email plan is not the level that handles CEO fraud. The advanced level includes CEO fraud protection, time-of-click analysis and the DMARC console; AI arbitration and the provision of an S/MIME certificate are options. Klytic MTA can also be placed in front of Microsoft 365, without changing email service.
Email backups are hourly and retained for 30 days. The data is held by the client, or by Klytic on its behalf, and encrypted natively or according to the client’s choice; the key is held by the client or kept in its account, and Klytic has no access to it. The stages at which encryption is managed by Klytic are detailed on the page protecting a business from the CLOUD Act. Emails are encrypted in transit, from Klytic MTA filtering to each access to the mailbox; towards another domain, encryption is maintained when the recipient’s server supports it, which is often the case. The contract must describe this custody and this encryption. Support is currently available in French by phone and in all languages by email, through Klytic’s ticket tracking tool. Other languages may be supported as Klytic expands into new markets and identifies sufficient demand from its customers. Depending on market needs, development potential or local legal and regulatory requirements, Klytic may also establish a local presence, including a local phone number. Klytic is relevant from the email service alone. The subscription includes hourly backups retained for 30 days, encryption of emails and documents with keys that Klytic does not hold, threat filtering and support by phone and by email. Few email offerings bring together protection, backup and support in this way, whereas backup is often left to the client or offered as an option. It is also relevant when email needs to coexist with documents shared and edited online, video conferencing, a CRM or telephony with the same operator, without a single bundled package. It is less relevant if you want a French email software vendor (look at BlueMind) or SecNumCloud infrastructure (look at the ANSSI catalogue: Klytic is not listed there).
